Best CRM for coaches in India: what actually matters
There is no single best CRM for every coach. There is a best fit for how your practice gets clients, books sessions and gets paid. This guide lists what to check, so you can judge any tool, including ours.
The ten things to check
- Does it tell you who to follow up today? Most coaching revenue is lost to slow or forgotten follow-ups, not to a lack of features. Look for one daily list of calls, overdue follow-ups and sessions.
- Are the CRM and the booking calendar one system? If bookings live in a separate tool, someone copies names between them by hand, and leads fall through.
- Does it work with how Indians actually call? Most coaches call from their own mobile. A CRM that needs VoIP or a virtual number adds cost and changes your caller ID.
- WhatsApp. Can you open a chat with a ready message in one tap?
- Invoices with GST, part payments and instalments. Programmes are often paid in parts. Check that the CRM can show what is owed and overdue.
- Pricing per user or per practice? Per-seat pricing grows quickly when you add a receptionist or a second counsellor.
- Consent and privacy under the DPDP Act 2023. Clients share sensitive things. Look for consent recorded per purpose and no email tracking.
- Does it work fully on a phone? Many coaches run the day from a phone.
- Can you get your data out? Export at any time, no lock-in.
- Who answers when something breaks? A named person on WhatsApp beats a ticket queue for a small practice.
